The problem
A growing solo-run talent agency. She knew AI should be helping her run the business, onboarding new artists, drafting contracts, handling the repetitive client-facing work, but she hadn't actually used Claude before. The barrier wasn't curiosity. It was figuring out where to start without burning a week on tutorials that didn't map to her actual day.
Step 1: Workflow Diagnostic
Before touching any tool, we mapped where AI could actually move the needle for her agency. Which workflows were repetitive enough to automate, which were too judgement-heavy, and which were coaching-shaped vs. build-shaped.
The diagnostic surfaced the right starting wedge: the onboarding-document workflow, and the daily Claude-as-thinking-partner habit. We deferred everything else.
Step 2: 1:1 AI Coaching
Sitting next to her, working through her real artifacts:
- • Claude Cowork installed and set up on her machine
- • Folder system for projects, context docs, and reusable prompts
- • Real reps on her own work, including a contract-negotiation walkthrough end-to-end
- • Co-built a custom Claude skill that automates her artist-onboarding document
The onboarding skill is the proof-of-fluency artifact, once she could build one with me, she had the foundation to build more on her own.
The outcome
- • Uses Claude daily as part of running the agency
- • Has a working onboarding-document skill she can extend
- • Understands where AI fits in her business and where it doesn't, no more "should I be using AI for this?" anxiety
- • Equipped to keep extending her own workflows as the agency grows
